A Reminder: Transition to the Provider Data Management Application on Availity Essentials 

This announcement, extending to Commercial, Medicaid, and Medicare Advantage plans from Empire, serves as a reminder of the imminent retirement of previous intake channels and the transition to the Provider Data Management (PDM) application on Availity Essentials. Effective October 1, 2023, the PDM application will be the primary platform for verifying and initiating care provider demographic change requests, including roster uploads. Healthcare professionals and entities should take immediate action and adopt this platform to ensure a seamless transition. 

Why the Transition? 

The shift to the Availity PDM application aims to streamline and enhance the process of managing provider demographic information. The application offers several notable features: 

  • Comprehensive Demographic Updates: It allows users to update provider demographic information for all assigned payers within one centralized location. 
  • Attestation and Management: Users can attest to and manage their current provider demographic information with ease. 
  • Historical Data Review: The application provides a historical perspective by allowing users to review previously verified data. 

Benefits of Availity PDM 

By adopting the Availity PDM application, care providers can expect several advantages: 

  • Consistently Updated Data: The platform ensures that provider demographic data remains up to date. 
  • Reduced Turnaround Time: Updates are processed swiftly, leading to decreased turnaround times. 
  • Compliance: The application ensures compliance with federal and state mandates, addressing various regulatory requirements. 
  • Enhanced Data Quality: Standardization is a key feature, that contributes to improved data quality. 
  • Accurate Provider Directories: With updated data, provider directories become more accurate, benefiting providers and patients. 
  • Roster Automation: The application introduces a new technology solution called Roster Automation, designed to streamline and automate provider data additions, changes, and terminations through standardized Microsoft Excel submissions. This innovation is available to all providers, including individual providers/practitioners, groups, and facilities. 

Application Deadline and Training 

Providers are encouraged to start using the Availity PDM application immediately, ensuring a smooth transition before the retirement of legacy intake channels on October 1, 2023. Additionally, training sessions are available to acquaint providers with the application’s functionalities. 

Managing Legacy Intake Channels 

While the transition is underway, the legacy intake channels will continue processing submissions until September 30, 2023. However, effective October 1, 2023, all PDM requests, including rosters, must be submitted exclusively through Availity PDM. Any provider demographic change requests, if submitted through other formats or channels after this date, will be rejected. 

How to Access Availity PDM 

To access the Availity PDM application, users should log onto availity.com, select ‘My Providers,’ and proceed to ‘Provider Data Management’ to initiate the attestation process. The application also offers a convenient method for uploading rosters. 

Training and Registration 

Training sessions are readily available to assist providers in navigating the application’s features effectively. For those not yet registered on Availity Essentials, the registration process is straightforward, secure, and cost-free. Providers are encouraged to register promptly by visiting availity.com or accessing the registration page through the provided link.

Please note that certain national providers offering services in various markets may have exceptions regarding Availity PDM availability until a strategic provider system migration is complete. Additionally, some exclusions apply to specific behavioral health providers and state-specific mandates for provider demographic updates.
